Interview kits and the interview plan

Interview assessment and guidance for each stage of the hiring process

Interview Kits are customised versions of Interview Templates created for specific jobs. The Interview Plan organises these kits and shows which interviews need to be scheduled.


The Interview Plan

The Interview Plan is found in the Interview Plan tab of any job. There are two types of interview plans depending on your account settings:

Interview Kits (Simple List)

When Interview Plans are not enabled, you'll see a simple list of Interview Kits for the job. This is the simplest way to organise interviews for a job - you can add as many kits as needed and arrange them in the order that makes sense for your hiring process.

Synced ATS Interview Plan (Stages and Slots)

When Interview Plans are enabled and you have a connected Applicant Tracking System (ATS) that supports interview plans, you'll see a structured interview plan with Stages and Slots. Stages represent different phases of your hiring process (e.g., "Phone Screen", "Technical Assessment", "Team Interviews") and are typically synced from your ATS. Each stage contains Slots where you assign Interview Kits - each slot represents a specific interview that needs to be scheduled.


Interview Kits (Simple List)

Creating a Kit

  1. Navigate to the Jobs page and select the job

  2. Go to the Interview Plan tab

  3. Click "Add interview kit"

  4. Choose an Interview Template to use as the starting point

You'll be taken to the kit editor where you can customise the kit for this specific job. Changes made here only affect this kit and won't impact the original template.

Reordering Kits

You can drag and drop kits to reorder them in the sequence you want them conducted:

  1. Use the drag handle on the left side of any kit

  2. Drag it to the position you want

  3. Click "Save" to save your changes

Archiving Kits

You can archive kits you no longer need:

1. Click the ... menu on any kit

2. Select Archive

Archived kits are moved to a separate section at the bottom of the list. You can expand the archived section to view them, and unarchive them if needed.

Editing Kits

Click on any kit in the list to open the kit editor. The interview kit editor works in the same way as the template editor - you can find a full guide here.


Synced ATS Interview Plan (Stages and Slots)

Creating and Assigning Kits

To create an Interview Kit and assign it to a slot:

  1. Navigate to the Jobs page and select the job

  2. Go to the Interview Plan tab

  3. Click on an unassigned slot (one with a + icon)

  4. Select "Add interview kit"

  5. Choose an Interview Template to use as the starting point, or copy from another job's kit

The kit is automatically assigned to the slot you selected. You can see which slots have kits assigned (marked with a checkmark) and which are still unassigned.

Removing Kits from Slots

To remove a kit from a slot:

  1. Click the ... menu on an assigned slot

  2. Select Remove

  3. Confirm the removal

Note: Some slots may not be assignable if they're synced from your Applicant Tracking System (ATS) and don't have the "needs scheduling" option enabled.

Editing Kits

Click on any assigned slot to open the kit editor. The interview kit editor works in the same way as the template editor - you can find a full guide here.

Understanding Stages and Slots

Stages are displayed in the order they should be conducted overall, showing the complete flow of your hiring process. Within each stage, slots are displayed in the order they should be conducted. For example, a "Technical Assessment" stage might have slots for "Coding Challenge" and "Technical Interview".


Shared Functionality

Kit Content Restrictions

If the template your kit is based on has restrictions on a section, those restrictions will apply to your kit as well. For example:

  • Library content restrictions: If a section doesn't allow library content, you won't be able to add content from your Interview Content Library to that section

  • Custom content restrictions: If a section doesn't allow custom content, you won't be able to create new content directly in that section

  • Label restrictions: If a section requires specific labels to be selected, you'll need to select those labels before you can add content

These restrictions help ensure consistency across interviews and prevent adding inappropriate content to sections.

Confidential Settings

Interview Kits can be marked as Confidential recordings and transcript. When enabled, interviews using this kit will have confidential recordings and transcripts that are only visible to team members given explicit access to the interview.

To enable this setting:

  1. In the kit editor sidebar, find the Confidential recordings and transcript option

  2. Toggle it on to restrict access to recordings and transcripts

  3. Save your kit

Note: If the template your kit is based on is already marked as confidential, your kit will inherit this setting. You can still change it for this specific kit if needed.

This setting helps protect sensitive interview content and ensures only authorised team members can view recordings and transcripts.
