Evidenced has different user roles & permissions configurations depending on whether or not your Organisation uses jobs to manage candidates and interviews.
If you are unsure whether or not you have jobs enabled, please contact your Evidenced Customer Success Manager.
If you use jobs to manage candidates and interviews in Evidenced
Evidenced has two different Organisation-level roles for users in this case:
Admin
Admins can do and manage everything across the app, including all users, jobs, interviews and candidates (except Private jobs they don't have access to).
This role is also suitable for interview coordinators, as they will need access to all candidates and the ability to schedule interviews.
User
Users permissions are derived from the job-level permissions they've been given on a job-by-job basis. They could be Hiring Managers, interviewers or job coordinators or administrators.
General Permissions
| Admin | User |
Access billing | ✅ | - |
Access insights | ✅ | Only for jobs they have access to |
Manage users | ✅ | - |
Manage candidates | ✅ | Only for jobs they have Hiring Manager or Job Admin access to |
View candidates | ✅ | Only for jobs they have access to or candidates they're interviewing |
View job interview kits | ✅ | Only for jobs they have access to |
Create and edit job interview kits | ✅ | Only for jobs they have Hiring Manager or Job Admin access to |

Job-level permissions
The following permissions can be set on a job-by-job basis for each User:
Job Admin
Job Admins can see and manage everything on the job, including candidates, interviews, interview kits, the hiring team, insights, and whether or not the job is a Private Job.
(Private Jobs can only be seen by users who have been explicitly added to the Hiring Team for that job - even other Organisation Admins can't see a Private Job unless they have explicit access.)
This role is also suitable for interview coordinators, as they will need access to all candidates and the ability to schedule interviews.
Hiring Manager
Hiring Managers can define the interview process by creating and editing interview kits, view insights, manage candidates, manage users and schedule interviews. They can do everything except change whether or not the job is a Private Job.
Interviewer
Interviewers can take part in a hiring loop but won't have access to change the interview process or manage candidates. They will only be able to see interviews and candidates they've been explicitly added to, they won't be able to see all other candidates and interviews on the job unlike the other roles.
Most Users will only have access to a handful of jobs at a time - they may be a Job Admin on one job, a Hiring Manager on one or two jobs, and an Interviewer on a few others where they're helping to interview candidates.
Interviews
| Job Admin | Hiring Manager | Interviewer |
Schedule / Manage interviews | ✅ | ✅ | - |
View scheduled interviews | All | All | Only for interviews they're added to |
View completed interviews | All | All | Only for interviews they're added to |
Run an interview | When added to an interview as an "Interviewer" | When added to an interview as an "Interviewer" | When added to an interview as an "Interviewer" |
Comment and leave bookmarks on a completed interview | Only for interviews they're added to | Only for interviews they're added to | Only for interviews they're added to |
Leave a hiring decision on an interview | When added to an interview as an "Interviewer" | When added to an interview as an "Interviewer" | When added to an interview as an "Interviewer" |
Any user can be added to an interview as a Commenter once it's been completed. This is useful to gather feedback from the wider team who couldn't make an interview.
If you require them to leave a decision on the interview then the user should be added as an Interviewer

If you do not use jobs to manage candidates and interviews in Evidenced
Evidenced has three different roles for users in this case:
Interviewer
Interviewers can take part in a hiring loop but won't have access to change the interview process or manage candidates.
Hiring Manager
Hiring Managers can define the interview process, view insights, manage candidates, manage users and schedule interviews.
This role is also suitable for interview coordinators, as they will need access to all candidates and the ability to schedule interviews.
Admin
