Information on why and how interviews are recorded.

Interview recording

To ensure fairness and accountability, Evidenced records and transcribes interviews conducted on the platform. These recordings are visible to the interviewer(s) who conducted the interview, and selected hiring managers at the interviewing company to provide oversight and ensure the process was conducted fairly.

Interview recording allows interviewers to focus on the candidate, and spend less time taking notes and transcribing, meaning that candidates are given the interviewer’s full attention for the best possible interview experience.

Consent for recording

It's your responsibility to notify the candidate in advance of their interview that the call will be recorded and transcribed, and that they'll have the opportunity to opt-out in Evidenced before they join the call should they wish to.

We recommend that you add the following text to candidate invite emails that are sent out:

"We will be using Evidenced to record and transcribe the interview. Evidenced allows our interviewers to take fewer notes and ensure fairness in the interview process. If you do not wish to be recorded and transcribed, you will have the option to opt-out when joining the call. You can read more about this here."

Before every interview, candidates are informed that the interview will be recorded and are given the option to opt-out:

Candidates can revoke consent at any point up until the end of the interview by leaving the interview and choosing for the interview not to be recorded.

Data retention

To ensure fairness and accountability is maintained, interview recordings are stored indefinitely as the default policy. Evidenced can apply a custom retention policy for customers upon request.

Subject access requests & right to be forgotten

Candidates can request a copy of their data and for it to be deleted from the Evidenced platform at any time. Any request by a candidate will be completed within 28 days of the request being received. Deletion results in all the Personal Identifiable Information (PII) being removed from the platform. Non-PII data is retained to ensure your account insights remain accurate.

If you receive a subject access or deletion request from a candidate, simply forward it to privacy@evidenced.app and we will process it within 28 days of receipt.
